Install & Setup Guide

A short walkthrough for getting Order Vault running on your store.

1. Install

Install Order Vault using the link you received in your beta invitation.

2. Switch to manual payment capture

In your Shopify admin, go to Settings → Payments, find the "Payment capture method" option, and set it to Manually capture payment for orders. Order Vault needs this: it holds a flagged order's authorization and only captures it once the order is verified or approved. On automatic capture there's no authorization left to hold.

3. Confirm your setup

Open Order Vault → Settings and run "Check payment capture setting" to confirm step 2 took effect. While you're there, confirm the notification email and sender name — these control where merchant alerts go and what name customers see on verification emails.

4. What happens when an order is flagged

When Shopify assesses a new order as medium or high risk, Order Vault automatically:

  • Places a fulfillment hold on the order so nothing ships yet.
  • Tags the order ov-verification-pending so you can spot it at a glance.
  • Emails the customer a link to confirm the order is theirs.
  • Emails you (the merchant) that a new order needs review.

5. Approve or cancel

From the order's case in Order Vault, you choose one of two outcomes:

  • Approve — captures the payment and releases the fulfillment hold, so the order ships. The order is retagged ov-approved.
  • Cancel — voids the authorization and cancels the order. The fulfillment hold is left in place until the order is fully cancelled, so nothing ships in the meantime. The order is retagged ov-cancelled.

If the customer confirms first, the order is retagged ov-verified while it still waits for your decision.

6. Reminders and automatic decisions

By default, you're reminded at 120 hours (about 5.0 days) if a flagged order is still undecided, and if nobody acts by 160 hours (about 6.7 days) the order is automatically cancelled. You can change these windows in Settings, or turn on "approve if verified" so a customer-confirmed order is automatically approved instead of cancelled at the deadline.

7. Evidence vault

Every order tracked by Order Vault has a downloadable PDF evidence file — order details, payment and risk data, fulfillment/tracking, the customer's verification record, and the event timeline — ready to send if a chargeback comes in. If a dispute is opened on Shopify Payments, you'll get an alert by email.
